Virtual Assistant Services: Operations, Client Care & Diary Management

More time to lead your business, less time managing the day-to-day

Virtual Assistant Services

What can a virtual assistant do for operations, client care and diary management?

I support small business owners across the UK with three core services: operations and workflow, client care and communications, and diary and schedule management. Together they put clear structure and processes behind the day to day running of your business.

Operations & Workflow Management

This is the structure behind your business, so it runs the same way whether you’re there to manage it or not. I build and maintain Trello and Notion boards to track your client work and projects, and keep tasks, deadlines and responsibilities in one place. I write your processes up as step by step guides, set recurring jobs up as repeatable routines, and review your systems regularly so they keep working as your business grows.

I also look after your information. I enter data, maintain your spreadsheets and databases, and organise your files, folders and existing records so everything is consistent and easy to find. If you don’t have a filing system yet, I can build one that suits how your business works.

Client Care & Communications

I look after the journey from first enquiry to fully onboarded client. I track and follow up leads and enquiries so none go quiet, then send welcome emails and create welcome packs in Canva. I issue contracts and chase signatures, set up your enquiry and intake forms to collect the information you need, and create each client’s records and folders, keeping their details up to date in your CRM. Where it makes sense, I build onboarding automations and monitor them, so every client gets the same professional start and nothing gets missed.

I also manage your inbox. I learn your tone, your priorities and how you like to communicate, then triage your emails each day and draft replies in your voice for your approval. I file emails and organise your folders so things are easy to find later, and send you a regular summary of what’s come in and what needs your attention, so you don’t have to live in there yourself.

Diary & Schedule Management

I book and confirm appointments, handle reschedules and cancellations, and send client reminders. I keep your calendars in sync across the platforms you use and set up booking tools and automations, so clients can book without emails going back and forth. I also use time blocking to protect space for focused work, building your diary around your priorities rather than fitting them in around everything else.

Can a virtual assistant help with Canva design, social media and personal tasks?

Yes. Alongside the three core services above, I offer support with design, social media and personal tasks.

Canva design

I create social media graphics and carousels, documents and guides, welcome packs and presentations in Canva, all in your existing branding so everything looks consistent. I can also build reusable templates that you can edit yourself, so quick updates don’t have to wait on anyone. I love working in Canva.

Social media support

I reply to messages and comments across your platforms so nothing goes unanswered. If you’d like help with the practical side, I can design your posts and carousels in Canva and schedule them ahead, so your content goes out regularly without you having to log in each time. The words and creative direction stay with you, so everything still sounds like you.

Lifestyle & personal support

I take on the personal tasks that build up alongside everything else in your life. That includes managing your personal diary and appointments, researching, shortlisting and booking travel, and researching, comparing and purchasing products. I also handle renewals, quotes, gift sourcing, forms, and household and school admin. These jobs can pile up and add to your mental load, and keeping on top of them prevents that. If something needs doing and doesn’t fit anywhere else, this is where it sits.

Virtual Assistant FAQs

A personal assistant is usually employed in house, dedicated to one person or business full time. A virtual assistant works remotely, often supporting more than one client, giving you experienced support without the cost or commitment of a traditional hire.

Handing over responsibility for parts of your business requires trust, and I take that seriously. I’m ICO registered, and client relationships and professionalism have sat at the centre of my career long before I became a VA. Protecting your reputation matters to me as much as it matters to you.

That depends on the complexity of what’s being handed over, but the discovery call and onboarding process exist specifically to make this efficient. We agree what I’m taking ownership of, I get set up in your platforms, and you have clear visibility of everything I’m handling from the start.

It depends what you value. A UK-based VA means working hours that overlap with yours, no time difference to plan around, and someone who understands UK business norms, HMRC obligations and data protection requirements without you needing to explain them.

Usually the tasks that drain your time without needing your specific expertise, diary management, inbox triage, client onboarding admin, and the general admin that piles up in the background. If a task doesn’t require your decision making or your particular skill, it’s usually the first thing worth delegating.
